Our dynamic team is seeking a talented, proactive self-starter to provide oversight for the overall efficiency of our downtown Toronto office location. The successful candidate will be a self starter and be an integral part of our team. Front Desk:

  • Provide professional and friendly service to our employees and guests
  • Assist with day-to-day office maintenance and organization of the overall office space
  • Greet and welcome all employees, visitors, and clients ensuring all government health and safety requirements are followed
  • Answer and transfer all telephone calls; direct calls to projects or appropriate staff member
  • Distribution of all incoming / outbound couriers, daily mail, manually and digitally, as required
  • Coordinate and organize meetings, conference calls, meeting materials, etc.
  • Organize all catered lunches for meetings and in-office special events
  • Ability to operate and troubleshoot all meeting room equipment, assist employee and/or guests as required
  • Maintain lobby and meeting rooms and ensure all amenities are maintained


Supply Room / Kitchen:

  • Maintain postage machine and ensure to post/deliver all outgoing daily mail
  • Coordination and ordering of office supplies for all GTA offices, perform annual negotiation with vendor(s) to secure discounted pricing on high volume purchases, process monthly invoices and apply appropriate chargebacks
  • Maintain office supplies, ensuring the supply room is kept tidy and organized and all boxes unpacked, stock all office photocopy area(s)
  • Maintain the kitchen and supply room, ensure they are kept tidy and organized including loading/unloading of dishwasher and stocking of refrigerator as required
  • Ensure all equipment is in good working order and appropriate inventory is in stock
  • Daily/weekly cleaning of office equipment


Office Administration:

  • Initiate and coordinate general office maintenance projects
  • Assist HR in the preparation of welcome packages and collection of access cards for departing employees, as required
  • Coordinate and assist IT with new staff hires
  • Updating and ensuring accuracy of our employee/office contact list; distribution as required
  • Distribution of parking and access fobs; digital code activations/cancellations
  • Assist with upcoming office relocation
  • Assist Sr. management with coordination of travel, meetings, and special events as required
  • Assist departments with ad-hoc projects/activities on an as needed basis
  • Any other reasonable duties as assigned


Qualifications & Competencies:

  • 3-5 years of proven experience as an office coordinator or experience in a similar role
  • Bachelor’s degree in office administration, management, or related field preferred
  • Experience in a customer service-oriented role is considered an asset
  • Excellent knowledge of MS Office – Outlook, PPT, Excel, Word
  • Experience using office machinery (ie. copier, scanner, printer, phone systems, etc)
  • Outstanding customer service skills
  • Able to balance multiple competing priorities with a keen attention to detail
